Present: Kris, Julie, Lisa, Pam, Deb, Renae, Tina, Geanna, Ellen, Darlene, Cheryl
Treasurer’s Report- Darlene indicated that three checks were issued since the last report. One for? $38.01 and one for $37.40 for expenses associated with the Harvest Festival. The third check was for $500 and represents our group’s contribution toward the purchase of a playground shed. The shed has arrived and Pam indicated that she is very happy with it. That leaves a remaining balance in the account of $1,104.66.
The balance of the meeting was devoted to making plans and firming up the details for the next event, the Make it, Take it Fair on December 12th.
Kris has filled out the building use form for the Fair. We are anticipating extra traffic as a result of the clothing and toy swap being held in the gym on the same day. We need to check and make sure that the Women’s Club is not planning on using the cafeteria tables for their event as we are planning on using them for the Fair. Hopefully we will both benefit from the increased traffic. Kris has also designed a flyer which will go out soon asking people to reserve the date and to volunteer to work or bake goodies for the bake sale. We also discussed using the alertnow system to send a reminder message mid week, perhaps Pam could take care of this.
Renae has the reindeer food under control with the addition of the supplies from the closet.
Kris will ask her Mom to man the cookie decorating table. We will ask the kitchen staff to bake the cookies, but if that does not work we will need volunteers to do the baking. Geanna will be providing the cookie? dough.
Kris will make the dough for the cinnamon applesauce ornaments on Friday night.
Pam needs to sign a letter on school letterhead for Kris to be able to get a gift certificate from Wal-mart. She was given a copy of a draft letter to prepare. Kris is volunteering at school on the 4th and will try to pick it up at that time.
Darlene will look for some silver and gold beads to supplement the red and green beads we already have. We also have plenty of yarn and just need clips.
We have 70 pinecones to be used as a station and Renae (?)? volunteered to try to figure out some creative ways to utilize them.
The Oriental Trading stuff has arrived. The bookmarks are here and we appear to have enough glue dots to assemble them, but if worse comes to worse we can use glue sticks.
Cheryl has agreed to run the gift wrapping station. We will be precutting paper into squares and giving this and the tags and bows to the kids to go. Kris can bring in some paper and Renae has extra tags and bows.
We have a bunch of small ornaments and garland which Renae will develop into some type of jewelry prototype before the Fair.
Ribbon candy- Lisa will take care of cutting the paper for this. With the paper Renae brought and what was unearthed from the supply closet we appear to be all set. Lisa also got copies of the letter to be reproduced for the Santa and reindeer she designed.
We added making a reindeer mask as a thirteenth activity. We can use the yarn to tie it on and markers to color it. This looks to be a fairly easy craft and if we end up being short on volunteers we can probably combine this with another station.
We are doing a bake sale for the first time to raise additional funds. I will be running the bake sale. I have decided to put the table in the lobby outside the office so people can see us coming and going and they will not have to carry around all of those treats they will be buying while their kids are crafting. Kris will ask Kerri to bring in a table and I will provide a tablecloth. Darlene will provide seed money for change for the sale. Any treats from the school population can be dropped off at the office on Friday. If we don’t end up selling everything perhaps we can open it up to the school at large on Monday.
Some of the classes appear to have started soliciting items for their gift baskets. We seem to be off to a bit of a slow start on this endeavor. Hopefully it will pick up speed as the time approaches. The goal of this and the bake sale is to raise funds to purchase additional dies for the school’s die cut machine.
Set up is Friday night at 6. We still need to find the rolls of paper to wrap the tables in the cafeteria.
Our next event is the Gator Family Breakfast in January.

Minutes 10/6/09

Meeting on October 6, 2009

Present: Kris Albert, Lisa Boulet, Kerri Day, Pam Doyen, Deb Dupuis (Secretary), Cheryl Maheux, Tina Martineau, Pam Sirois, Geanna Thibault,

The primary focus of this meeting was to finalize the details of and prepare for the Harvest Fair on October 24th. There are prizes available and each individual will need to decide if they want to offer prizes or just let the kids have fun and play the game.

?We discussed adding some interest to the Bobbing for Apples game by offering additional prizes in selected apples to add some interest to the game. Suggestions included? adding a golden gator award, offering the opportunity to win home baked goods (later rejected due to probable lack of interest on part of recipients), gift baskets; no final decision reached. Ellen is handling this and I will let her know about this since she was not present and she and Kerri can make this call.

Darlene has volunteered to man the pumpkin “spitting”? game, she along with others need to decide on the ground rules for her event and communicate her sign preferences to Kerri who will relay them to Renae who will be making the signs. Since Darlene was not there last night I will e-mail her and let her know about the above.

After pricing out donuts it was determined that they are too expensive and Kerri will be providing donut muffins instead or getting other volunteers to provide same. Renae has volunteered to do the cookie decorating table and has that under control.

Kerri and perhaps a niece will be doing the face painting table.

Pam D. will be providing the clothes for the relay race, but decided that she really needed to be able to provide overall supervision, so Lisa and Pam Sirois will be manning the relay race and setting up the rules as far as how the game is going to be run on an ad hoc basis.

Gourd/Pumpkin bowling is mine. Kerri has given me some foam pumpkins to use and I will need to get some other “balls” as well as the pins. I asked Pam to check with the gym teacher about what they might have in the way of barriers to set up the lanes and she will get back to me. I will use my kids as guinea pigs to see what works best for this game prior to the big day.

Marshmallow toss- Kerri thinks she has persuaded Tina Crosby that she needs to do this and she already has the stuff.

Pumpkin Ring toss- Cheryl has volunteered to do this and Kerri has the equipment.

Pumpkin Pin Table- This one belongs to Tina. Also there is going to a guess the weight of the pumpkin game on this table. Kerri will be providing tablecloths for the activities and we will use the cafeteria tables for all activities which need tables.

Funniest Face contest- Kerri’s husband has started working on a large scale pumpkin to either show just the kid’s faces or faces and limbs (still being decided) and photos will be taken of the kids making their scariest/funniest face by Kerri’s Mom. A percentage of those taken will be displayed at the school afterwards and voted on. There will be prizes.

Pam’s husband has some time off and he has volunteered to come in and set up his spooky walk complete with music and coffins.

We have already received some forms back and the head count at this point is approximately 35 kids. We also had a? couple of parents volunteer and Kerri or Kris will get in touch with them.

Kerri brought in some literature on the proposed playground storage shed. Pam D. will do some more research and possibly involve the maintenance staff. We hope to have it ready and set to go at the Harvest Fair so we can use it as a tangible example of what we do and hopefully generate more interest in future fundraisers. Pam D. was asked to think about future items on her wish list.

Set up for the Harvest Fair will be at 6:30 in the gym or cafeteria on the night before (the 23rd).

Our next event is in November and Pam D. will ask either the grades or the classes to make themed baskets which we will raffle off at the Make it , Take it Fair next month. It was suggested that we (if possible) put the baskets on display before the November event to generate interest and hopefully drive up the bids. Hopefully Pam D. will get back to us by then with the next item on the wish list so we can focus the bidding and? make it seem more appealing to actually have a goal.? Kris and Cheryl agreed to make a foray into the craft closet before the next meeting to see what we have in the way of supplies and how many more additional activities we will need to add to this year’s lineup.

Pam D. asked for some input on future newsletters. All agreed that offering the option of e-mail or hard copy on request was the way to go. In addition all agreed that posting a list of upcoming events and important dates was helpful and should continue. There was less consensus on the length of the newsletter and whether everyone wanted/needed information about other grades. Perhaps a survey could be sent home soliciting input from the whole community before any final decisions are made.
